The Office Assistant / Administrative Assistant is the backbone of our office, providing essential support to ensure our day-to-day operations run seamlessly. Administrative & Clerical Support:
Answer, screen, and forward incoming phone calls in a professional manner.
Greet and assist visitors at the front desk, creating a welcoming environment.
Manage incoming and outgoing mail, packages, and courier deliveries.
Perform accurate data entry and maintain digital and physical filing systems.
Provide general support to visitors and employees.
Office Management:
Maintain office supply inventory by checking stock, anticipating needs, and placing orders.
Ensure common areas (e.g., conference rooms, kitchen) are tidy and well-maintained.
Coordinate with vendors and building management as needed.
Operate and perform basic maintenance on office equipment (printers, copiers, etc.).
Scheduling & Communication:
Schedule and coordinate meetings, appointments, and travel arrangements for team members.
Book conference rooms and set up audio/visual equipment for meetings.
Prepare and distribute correspondence, memos, and forms.
[Optional] Assist in the preparation of regularly scheduled reports and presentations.
Team Support:
Assist in the onboarding process for new employees (e.g., preparing desks, setting up credentials).
Help plan and organize company events and meetings.
Collaborate with other administrative staff to support cross-departmental needs.
