Position Summary

The Office Assistant / Administrative Assistant is the backbone of our office, providing essential support to ensure our day-to-day operations run seamlessly. This role is perfect for a detail-oriented problem-solver who thrives in a fast-paced environment and is committed to providing excellent support to our team and clients. The ideal candidate will be a reliable professional with strong communication skills and a passion for helping others.

Key Responsibilities

Administrative & Clerical Support:

  • Answer, screen, and forward incoming phone calls in a professional manner.

  • Greet and assist visitors at the front desk, creating a welcoming environment.

  • Manage incoming and outgoing mail, packages, and courier deliveries.

  • Perform accurate data entry and maintain digital and physical filing systems.

  • Provide general support to visitors and employees.

Office Management:

  • Maintain office supply inventory by checking stock, anticipating needs, and placing orders.

  • Ensure common areas (e.g., conference rooms, kitchen) are tidy and well-maintained.

  • Coordinate with vendors and building management as needed.

  • Operate and perform basic maintenance on office equipment (printers, copiers, etc.).

Scheduling & Communication:

  • Schedule and coordinate meetings, appointments, and travel arrangements for team members.

  • Book conference rooms and set up audio/visual equipment for meetings.

  • Prepare and distribute correspondence, memos, and forms.

  • [Optional] Assist in the preparation of regularly scheduled reports and presentations.

Team Support:

  • Assist in the onboarding process for new employees (e.g., preparing desks, setting up credentials).

  • Help plan and organize company events and meetings.

  • Collaborate with other administrative staff to support cross-departmental needs.
